We are currently taking applications for a part time Executive Assistant, International Operations to work as part of our International Team. *Schedule will be Monday through Friday - 4 hours a day.*


Essential Functions:
  1. Responsible for the administrative functions for the Senior Vice President & Managing Director of the International Operations, Corporate Vice President & Director of International Research, and Managing Director of the Centre as well as other unit staff members.
  • Proactively manages the schedule of the SVP
  • Arranges meetings and calls, including providing conference call information and utilizing video conference equipment
  • Develops travel and company visit schedules for all trips by SVP and CVP, including working with the travel agency, in-country representatives and other internal and external contacts as required
  • Communicates travel schedules of the SVP and CVP to the department
  • Tracks company visits, calls and other metrics
  • Records updates to executive contact information in Salesforce.com
  • Completes expense reports on behalf of business center heads, ensuring reports are accurate, timely and adhere to travel policies
  • Point of contact for ordering, reordering and distributing business cards for the department
  • Update and manage International’s SharePoint page to facilitate easy sharing of information
  • Coordinates meeting logistics for both in-house and externally hosted staff and planning meetings
  • Maintains regional country contact list for use by staff
  • Maintains filing, copying, collating & mailings of correspondence for the unit
  • Handles phone calls and e-mails in the absence of the Senior Vice President
  1. Develops engaging and visually attractive PowerPoint presentations for Board meetings, committees, seminars, conferences and similar
  • Find suitable visuals based on slide content
  • Utilize Business Head notes or feedback to develop or improve slide content
  • Source materials within LIMRA and LOMA to feed slide content
  • Work with internal staff to gather information and sample slides
  • Incorporate feedback into a final version
  • Catalog presentations and visuals in a way that allows for easy access to reuse

 

Qualifications:

  • Education/Experience
    • Requires a High School diploma or equivalent
    • Prefer a college degree
  • Skills/Knowledge
    • Excellent verbal and written skills;
    • Good editing and proofreading skills;
    • Good attention to detail and accuracy in work product
    • Exceptional organizational and time management skills to manage multiple projects simultaneously
    • Ability to work autonomously with minimal direction
    • Able to exercise initiative and judgment;
    • Knowledge of the Microsoft Office Suite with advanced level skill in Microsoft PowerPoint
    • Ability to work effectively with a results oriented highly driven consultant team
    • Prefer a language – Chinese, Spanish, Japanese or Korean
